Frequently Asked Questions

Have questions? We’ve got answers. Below are some common questions about our services, shipping processes, and logistics solutions. If you need further assistance, feel free to contact us.

Is Flint Hills Freight a broker or a carrier?

Flint Hills Freight is a non-asset-based freight broker, meaning we coordinate and manage shipments with trusted carrier partners on behalf of our clients. Unlike a carrier that owns and operates trucks, trailers, and warehouses, we focus on providing flexible and cost-effective logistics solutions by leveraging our extensive network.

What is a Bill of Lading (BOL)?

A Bill of Lading is a legal document that serves as a contract between the shipper and the carrier or broker. It confirms the receipt of goods, outlines the shipment terms, and acts as both a contract of carriage and a receipt. The BOL includes critical details such as shipment origin, destination, and freight charges.

What is an NMFC number?

The National Motor Freight Classification (NMFC) number is used to determine a shipment’s freight class based on factors like density, handling, and liability. This classification helps carriers calculate accurate shipping rates.

What is a carrier PRO number?

A PRO number is a unique identifier assigned by the carrier once a shipment is picked up. It is used for tracking and reference throughout transit until delivery.

What are accessorial fees?

Accessorial fees are additional charges for services beyond standard transportation. These may include residential delivery, liftgate service, inside delivery, or special handling requests that are either noted on the BOL or requested by the shipper or receiver.

How can I track my shipment?

You can track your shipment by using our online tracking tool or reaching out to our team directly. Contact us via email or phone, and we’ll provide real-time updates on your freight’s status.

How do I request a shipping quote?

Getting a quote is easy! Simply use the Get a Quote form on our website, email our team, or call our office during business hours. One of our logistics experts will provide a competitive rate tailored to your needs.

How long does it take to receive a quote?

We aim to confirm receipt of your quote request within 30-60 minutes. LTL (Less-Than-Truckload) rates are typically provided quickly, while full truckload or volume quotes may take up to a few hours, as we source carrier availability and competitive pricing.

Can I insure my shipments?

Yes! You can request shipment insurance when booking your freight. Just specify the insured value (USD) in your quote request, and we’ll include it in your rate.

How should I package my freight?

Proper packaging is essential for safe transport. If using pallets, shrink-wrap them securely from top to bottom, ensuring the wrap extends to the pallet base to prevent shifting. Loose or exposed items may be refused by the carrier if deemed unsafe for transit.

Do you handle hazardous materials?

Yes, we work with carriers that specialize in Hazmat freight, as well as shipments requiring protection from freezing and other special handling.

Do you provide logistics for trade shows?

Absolutely! We have extensive experience in coordinating trade show shipments and meeting strict event deadlines. Let us know your requirements, and we’ll ensure your freight arrives on time and in compliance with event guidelines.

Are there any types of freight you don’t handle?

While we can manage most shipments, there may be exceptions depending on the commodity, size, or required handling. Contact us to discuss your specific needs, and we’ll determine the best solution.

What is a pickup or delivery “agent” or partner carrier?

A partner carrier is a local or regional carrier that works alongside a larger freight company to handle pickups and deliveries in areas where the larger carrier doesn’t operate directly. Even major carriers like FedEx and XPO rely on partner carriers for specific locations.

What is a customs broker?

A customs broker facilitates import and export clearance, ensuring compliance with government regulations and duty payments. Since Flint Hills Freight specializes in transportation, a customs broker is required to handle the legal aspects of cross-border shipments.

How do carriers count transit days?

For Less-Than-Truckload (LTL) shipments, transit days typically include business days only—excluding weekends, holidays, and the pickup day. Transit times are estimated and not guaranteed unless booked with a guaranteed delivery service.

What should I do if my freight is lost or damaged in transit?

We understand how frustrating this can be. If your shipment is lost or damaged, contact us immediately. We will assist in filing a claim with the carrier, gathering the necessary documentation, and guiding you through the resolution process.

How do I file a freight claim?

You can submit by emailing our team. If you need assistance, our team is available to help you navigate the process.

How long does it take to resolve a freight claim?

Once a claim is submitted, we confirm receipt within 24-48 hours. Gathering the necessary documentation can take 1-2 weeks, after which the carrier has up to 180 days to review and resolve the claim—though well-prepared claims are often processed faster.

What payment options are available? Can I apply for credit?

Yes, we offer credit terms for qualified customers. We also accept ACH payments and credit cards. Contact us to learn more about setting up a credit account.
